Joanne Bagshaw & Associates is a fee-for-service sex and relationship therapy practice. We offer systemic sex therapy for individuals and couples with a specialty in treating sexual dysfunction and trauma. We have offices in Patterson Park, Baltimore, and the Kentlands, in Gaithersburg, MD.
We are a small, collaborative group practice of warm, down-to-earth therapists committed to providing culturally affirming, client-centered care.
JBA is a trauma-informed, sexual health, feminist practice. Therapists and staff at Joanne Bagshaw & Associates are culturally affirming, racial justice, and LGBTQ+ allies. Our practice draws clients from diverse populations throughout the DMV area.
Position Overview
We’re seeking a highly organized, detail-oriented Virtual Administrative Assistant to support our group practice's day-to-day operations. This role focuses on administrative coordination, client intake support, billing follow-up, and general practice management tasks.
The ideal candidate is proactive, has good people skills, is responsive, and comfortable managing multiple systems while maintaining professionalism and confidentiality.
Main Responsibilities
Daily Tasks (~30 minutes/day)
Monitor incoming consultation requests
Ensure completion of intake documentation
Respond to emails and voicemails in a timely, professional manner
Monitor and address any unpaid sessions
Respond to emails and voicemails
Weekly Tasks
Review provider schedules to ensure availability for consultation calls
Communicate with providers regarding scheduling gaps or needed adjustments
Biweekly Tasks (~1 hour total)
Run payroll processes
Monthly Tasks (~1 hour total)
Process superbills by the 5th of each month
Schedule and manage payroll reminder communications
As-Needed Tasks (Varies)
Draft and distribute newsletters
Provide administrative support for webinars
Qualifications:
Required:
Strong organizational and time management skills
Excellent written and verbal communication. Communicates clearly, kindly, and professionally.
Comfortable with diverse populations, and inclusive, identity-affirming language
Ability to work independently and manage recurring tasks with minimal supervision
High attention to detail, particularly with billing and documentation
Comfort handling sensitive and confidential information
Is dependable, easy to work with, and maintains a positive, solutions-focused attitude
Access to reliable internet access
Preferred:
Has a VA business, or business tax ID (EIN)
Prior administrative experience (healthcare or behavioral health preferred)
Experience with client management systems, billing platforms, or EHRs preferred
Experience with practice management tools (e.g., Simple Practice or similar)
Familiarity with superbills
Basic understanding of psychotherapy practice workflows
Work Schedule & Expectations
Approximately 30 minutes of work per weekday, with additional time biweekly/monthly as needed
Flexible schedule, with expectation of timely check-ins and task completion
Occasional availability for real-time support (e.g., webinars)
Compensation
$22-$26 per hour, based on experience. If the candidate has their own VA business, this is a contractor position; if not, then W-2.
